This guide explains how an artist can upload a song to the VaseBit Beta platform (beta.vasebit.com) and submit it for review.

Before You Start

  • You need a VaseBit account with the artist role and status active.
  • Prepare your files:
    • Audio (required) — mp3, flac, or wav.
    • Cover art (optional) — png, webp, jpg, or jpeg.
    • License / sample clearance (required only if your track contains samples) — pdf, png, jpg, jpeg, or webp.

Step 1: Sign in to Beta

  1. Go to beta.vasebit.com.
  2. Click Sign in — you will be sent to the VaseBit Account OneStep authorization page.
  3. Authorize with your VaseBit account. A Beta session cookie (beta_sso) is created and you are redirected back to the Beta dashboard.

Step 2: Create a New Submission

  1. Open My Submissions from the sidebar.
  2. Click + New Submission.
  3. Fill in the release metadata:
    • Title — the track name.
    • Artist name — your stage name as it should appear on the release.
    • Album name — the album or single name.
    • Genre — e.g. Pop, Hip-Hop, Electronic.
    • Language — the language code of the lyrics (e.g. en, zh).
    • Release date — the planned release date.
    • ISRC — if you already have one; otherwise enable Request ISRC and we will assign one for you.
    • Credits — songwriters, producers, featured artists, etc.
    • Lyrics — full lyrics of the track.
    • Samples — if the track contains samples, switch on Has samples and describe them in Sample info.

Step 3: Upload Your Files

  1. In the submission form, use the upload fields:
    • Audio file (required) — select your track (mp3, flac, or wav). A progress bar shows the upload status.
    • Cover art (optional) — select your artwork image.
    • License document — required if your track contains samples.
  2. Alternatively, you can paste a cloud-drive link instead of uploading directly.
  3. Wait until every upload finishes before continuing.

Step 4: Save as Draft or Submit for Review

  1. Click Save to keep the submission as a draft — you can come back and edit it any time.
  2. When everything is ready, click Submit:
    • The system checks that the audio file and all required fields are present (plus the license file if the track has samples).
    • Your submission status changes to pending and enters the review queue.

Step 5: Track the Review Process

You can follow your submission's progress from the My Submissions page:

Status Meaning
draft Saved but not yet submitted — still editable
pending In the review queue, waiting for a reviewer
claimed A reviewer has picked up your submission
reviewing Actively being reviewed
approved Approved — waiting to enter distribution
needs_more Reviewer requested additional materials (check the reason)
rejected Rejected (check the reason, edit, and resubmit)
awaiting_distribution Queued for distribution to platforms
distributed Distribution complete
withdrawn You withdrew the submission

What You Can Do at Each Stage

  • Edit — allowed while the status is draft, rejected, needs_more, or withdrawn.
  • Withdraw — allowed while the status is pending, claimed, or reviewing.
  • Delete — allowed only while the status is draft.

Coming from a Studio Session?

If you recorded at VaseBit Studio, you do not need to upload the audio again. After your session file passes staff review, click Distribute on the file in the Studio panel — you will be brought to this submission form with your session and file already attached. Just complete the metadata and submit. See the companion guide "Requesting a Studio Session & One-Click Distribute to Beta".

Tips

  • Only the account owner can see and edit their own submissions.
  • File type and size are validated on the server — unsupported formats will be rejected.
  • If your track contains samples, the license document is mandatory before you can submit.
  • Every submission gets a unique reference code (e.g. VB-AB12CD) you can quote when contacting support.

This guide explains how an artist account can request a studio session at VaseBit Studio, and how to push your finished recording to the Beta platform with one click once the session is complete.

Part 1: Requesting a Studio Session

Step 1: Sign in to VaseBit Studio

  1. Go to staff.studio.vasebit.com.
  2. You will be redirected to the VaseBit Account SSO (OneStep) login page.
  3. Sign in with your VaseBit artist account credentials (email + password, plus your 2FA code if enabled).
  4. After authorizing, you will be redirected back to the Studio dashboard.

Step 2: Create a New Session Request

  1. Open the Sessions page from the sidebar.
  2. Click New Session.
  3. Fill in the session form:
    • Name — a title for your session (e.g. "Midnight Drive Vocal Recording").
    • Session type — choose one of: recording, mixing, mastering, podcast, voice, or instrument.
    • Studio — pick the studio room you want to book.
    • Start time / End time — your desired time slot.
    • Description (optional) — any notes for the staff, e.g. equipment needs.
  4. Submit the form. Your request is created with status pending.

Step 3: Wait for Approval & Scheduling

  1. A studio admin will review your request. When approved, the status changes to approved, then to scheduled once it is placed on the calendar.
  2. You can track the status any time from the Sessions page or the Schedule calendar view. Artists can only see their own sessions.

Step 4: Recording Day

  1. Arrive at the studio at your scheduled time.
  2. Staff will start the session (status changes to recording).
  3. The session then moves through the production workflow:
    • recording → editing → mixing → mastering → completed
  4. Engineers may be assigned to each stage by the studio admin.

Part 2: Uploading Your Files During the Session

  1. Open your session detail page.
  2. In the Files section, upload your recordings:
    • Choose the correct stage: raw (raw takes), editing, mix, master (final master), or documents.
    • You can either upload a file directly, or paste an external cloud-drive link.
  3. Newly uploaded files start in pending_review status.
  4. Review the file yourself and click Confirm — the status becomes confirmed.
  5. A studio admin or reviewer then reviews the file. Once approved, the status becomes reviewed.

Part 3: One-Click Distribute to Beta

Once a file has passed review (status reviewed), you can distribute it to the Beta platform:

  1. Open your session and find the reviewed file in the Files list.
  2. Click the Distribute button on that file.
  3. You will be automatically redirected to the Beta submission page (beta.vasebit.com/submissions/new) with your session and file pre-filled.
  4. On the Beta page, complete the release metadata (title, genre, release date, etc.) and submit — see the companion guide "How to Upload a Song on Beta" for details.
